Privacy Policy
Overview
This Privacy Policy explains how LibNest ("Libnest Pro"), operated by Gokeeda Solutions ("we", "us", "our"), collects, uses, shares and protects information when you use our services. It applies to our website and web application at https://manage.libnest.com and our LibNest Manager Android app (together, the "Service").
LibNest is a management platform for self-study libraries and reading rooms. Our customers are library owners and their staff ("you", "account holder"). As part of running their library, account holders record information about their own students ("student data"). This means two different relationships apply:
- For your account and library data, we act as the data controller and this policy governs how we handle it.
- For student data you enter, you are the controller and we act as a processor on your behalf — we process it only to provide the Service to you, and students should direct requests to their library.
By using the Service you agree to this Privacy Policy. If you do not agree, please do not use the Service.
Information We Collect
Account & profile information. When you register and use LibNest, we collect your library name, your name, username, email address, mobile number, and optionally your date of birth, gender and address. Your password is stored only in hashed (irreversible) form.
Student records you enter. To run your library, you may enter information about your students — such as name, mobile number, photo, gender, date of birth, address, fee and payment records, seat allotments, and attendance. You are responsible for having a lawful basis to collect and enter this information.
Payment information. Subscription payments are processed by our payment partner, Razorpay. Your card, UPI or bank details are entered directly with Razorpay and are never received or stored by LibNest — we retain only a transaction reference (payment ID) and the status of your subscription.
Device & technical information. When you use the app we generate and store a random device identifier on your device to secure your login session, and our servers log standard technical data such as app version, IP address, and access timestamps for security and troubleshooting.
Camera & photos. The app uses your device camera only when you choose to scan a student's QR code (to mark attendance) or take a photo, and it accesses your photo library only when you choose to attach a photo. We do not access your camera or photos in the background.
Verification codes. We use your email address or mobile number to send one-time passwords (OTPs) to verify your identity at sign-up and sign-in.
How We Use Information
We use the information above to:
- Provide, operate and maintain the Service and its features (students, seats, attendance, fees and reports);
- Authenticate you and send one-time verification codes;
- Process subscription payments and manage your plan;
- Send you service and transactional messages (for example payment, renewal and account notifications);
- Provide customer support;
- Protect the Service, prevent fraud and abuse, and keep accounts secure;
- Comply with applicable law.
We do not use your data or your students' data for advertising, and we do not sell it.
Mobile App Permissions
The LibNest Manager app requests only the permissions it needs, and only at the moment you use the related feature:
- Camera — to scan student QR codes for attendance and to take student/profile photos.
- Photos / media — to let you attach a photo from your device when adding a student.
The app does not collect your location, does not access your device contacts, and does not record audio.
How We Share Information
We do not sell your personal data. We share information only with service providers who process it on our behalf, strictly to provide the Service:
- Razorpay — to process subscription payments;
- AiSensy — to deliver one-time passwords and messages over WhatsApp;
- Email delivery provider — to send one-time passwords and email notifications;
- Cloudflare and our hosting provider — to serve and secure the Service.
We may also disclose information where required by law, to enforce our terms, or to protect the rights, safety and security of our users, the public or LibNest.
Data Retention
We retain your account and library data for as long as your account is active, and thereafter only as long as needed for legitimate business or legal purposes (for example financial and tax records). When you request deletion, we delete or anonymise your personal data as described below, subject to any retention required by law.
Security
We protect your information with appropriate technical and organisational measures. All data is transmitted over encrypted connections (HTTPS/TLS). Passwords and one-time codes are stored only in hashed form, login tokens are held in your device's secure storage, and access to data is restricted. No method of transmission or storage is completely secure, but we work to protect your information and continually improve our safeguards.
Your Rights & Deleting Your Data
You may access and update most of your account and library information directly within the Service. You may also request a copy or correction of your personal data, or ask us to delete your account and associated data.
To delete your account and data, submit a request at https://manage.libnest.com/delete-account. We will verify the request and delete your account and associated personal data, except where we are required to retain certain records by law.
Children
The Service is intended for library owners and staff and is not directed to children. Account holders are responsible for obtaining any consent required to record information about their students, including minors.
Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the date at the top of this page and, where appropriate, notify you through the Service.
